ProLeads – PRIVACY POLICY

This privacy policy has been compiled to better serve those who are concerned with how their ‘Personally Identifiable Information’ (PII) is being used online. PII, as described in privacy law and information security, is information that can be used on its own or with other information to identify, contact, or locate a single person, or to identify an individual in context. Please read our privacy policy carefully to get a clear understanding of how we collect, use, protect or otherwise handle your Personally Identifiable Information in accordance with our website.

What information do we collect from the people

• When you request additional information or register on Proleads’ Web sites, the Company will ask you to provide basic contact information
• When you purchase Proleads applications or services (the “Services”), the Company will ask you to provide billing information

How do we use your information?

• Proleads uses information collected to provide you with the Services you request.
• Proleads may use information collected to improve the Company’s Web sites and Services.
• Unless described in the full Privacy Statement, Proleads does not share, sell, rent, or trade personally identifiable information with third parties for their promotional purposes.

Google OAuth Data Handling

► Data We Access

When you grant ProLeads access through Google OAuth, we may access the following information:

Google Account email address
Scope: https://www.googleapis.com/auth/userinfo.email
Used to identify the Gmail address connected to ProLeads and store it as the “From” email address when sending emails on your behalf.
Gmail send permission
Scope: https://www.googleapis.com/auth/gmail.send
Used only to send emails that you explicitly compose and initiate within the ProLeads application.
OAuth access tokens and refresh tokens
Required to authenticate with Google and securely send emails on your behalf. These tokens are used only to maintain the authorized session.

► How We Use Your Google Data

We process Google user data solely to provide the core email-sending functionality of the ProLeads service. Specifically, we use this data strictly for the following purposes:

• To authenticate your Google account in ProLeads
• To allow you to send emails using your connected Google account
• To associate the selected Gmail address as the sender (“From” address) for emails initiated by you
• To improve email delivery functionality and maintain service reliability

We do NOT:

• Read your Gmail inbox
• Access or store Gmail message content other than the email text you explicitly compose in ProLeads
• Access your contacts
• Access your Google Drive
• Access or analyze any emails in your Gmail account

► How We Store Google User Data

We store the following information in our database:

• Email address
• Google access token
• Google refresh token

This information is stored securely and used only to provide the email-sending functionality requested by the user.

► Data Protection & Security Measures

ProLeads implements reasonable administrative and technical safeguards to protect Google user data from unauthorized access, alteration, or misuse.

These measures include:

• Google OAuth access tokens and email addresses are stored in the backend database and are accessible only by ProLeads’ server-side application logic
• OAuth tokens are never displayed in the user interface or exposed to end users or third parties
• Tokens are used strictly for sending emails explicitly initiated by the user
• When a user disconnects their Google account, stored OAuth tokens are immediately deactivated and no longer used

► Disconnecting Google Access

You may disconnect your Google account at any time through ProLeads. When you disconnect:

• Your Google access token and refresh token stored in our system are immediately deactivated
• The tokens are no longer used for authentication or to send emails
• Email-sending functionality is immediately disabled
• No further API calls to your Google account are made after disconnection.

You may also directly revoke our access anytime from your Google Account settings under: Security → Third-party apps with account access → Remove Access

► Data Retention

ProLeads stores personal information and Google user data only for as long as necessary to fulfill the business purposes described in this Privacy Policy and to provide the services requested by the user.

We retain user data in a manner that is consistent with our legitimate business needs, including but not limited to:

• Providing email-sending functionality
• Displaying sent-email history and delivery status within ProLeads
• Account management, troubleshooting, and service reliability

Personal information and Google user data are retained only for the duration needed to fulfill these purposes, unless a longer retention period is required or permitted by applicable law.

► Data Deletion

Google OAuth access tokens and refresh tokens are deleted or permanently deactivated when:

• A user disconnects their Google account from ProLeads
• A user revokes access through their Google Account settings
• A user deletes their ProLeads account.

After disconnection or revocation:

• No further API calls to Google services are made
• Email-sending functionality is immediately disabled
• Email data generated through ProLeads (emails composed and sent by the user) is retained only while the user’s ProLeads account remains active.

When a ProLeads account is permanently deleted, all associated personal data and Google user data are deleted or securely destroyed, unless retention is required by law.

► User Data Deletion Requests

Users may request deletion of their personal data or Google user data at any time by contacting us at: 📧 sales@proleads.in

Upon verification of the request, we will delete or anonymize the requested data in accordance with applicable laws and our internal data retention policies.

► No Sharing of Google User Data

ProLeads does not sell, rent, or share any Google user data with any third-party services or advertisers.

Customer Data

• Customers of Proleads may electronically submit data or information to the Company’s Services (“Customer Data”).
• Proleads will not review, share, distribute, or reference any such Customer Data except as provided in Proleads’s Master Subscription Agreement, or as may be required by law. In accordance with Proleads's Master Subscription Agreement, Proleads may access Customer Data only for the purposes of providing the services, preventing or addressing service or technical problems, at a Customer’s request in connection with customer support matters, or as may be required by law.

Do we use ‘cookies’?

Yes. Cookies are small files that a site or its service provider transfers to your computer’s hard drive through your Web browser (if you allow) that enables the site’s or service provider’s systems to recognize your browser and capture and remember certain information. For instance, we use cookies to help us remember and process the items in your shopping cart. They are also used to help us understand your preferences based on previous or current site activity, which enables us to provide you with improved services. We also use cookies to help us compile aggregate data about site traffic and site interaction so that we can offer better site experiences and tools in the future.

We may also release information when it’s release is appropriate to comply with the law, enforce our site policies, or protect ours or others’ rights, property or safety.
However, non-personally identifiable visitor information may be provided to other parties for marketing, advertising, or other uses.

Opt-out Preferences

The Company will use the email provided in the registration process in order to send a welcome email, billing and invoice information and news and updates. If you wish to subscribe to our newsletter, we will use your name and email address to send the newsletter to you. Out of respect for your privacy, you may choose to stop receiving our newsletter or marketing emails by following the unsubscribe instructions included in these emails, accessing the email preferences in your account settings page or you can contact us.
We will also send you service related email announcements on rare occasions when it is necessary to do so. For instance, if our service is temporarily suspended for maintenance, we might send you an email. You do not have an option to opt out of these emails, which are not promotional in nature.
If you choose to use our invite Teammates to our Service, we will ask you for that Teammate’s email address. We will automatically send a one-time email inviting that Teammate to use the Service. Company stores this information to validate authorized users. Invited Teammates may contact us at info@Proleads.in to request that we remove this information from our database.

Children Online Privacy Protection Act

When it comes to the collection of personal information from children under the age of 13 years old, the Children’s Online Privacy Protection Act (COPPA) puts parents in control. The Federal Trade Commission, United States’ consumer protection agency, enforces the COPPA Rule, which spells out what operators of websites and online services must do to protect children’s privacy and safety online. We do not specifically market to children under the age of 13 years old.
